The Next Generation of Mobility - Digital Transformation in Efficient Fleet Utilization

Case Study: Digitalization and Automation of Fleet Management for Municipal Authorities

Client Requirement: Implementation of Innovative Vehicle Sharing Solutions

The capital city of Bratislava, in its efforts to modernize fleet management, identified an opportunity to reduce the number of vehicles required by optimizing their use. The key was to implement a dynamic sharing system, allowing vehicles to be borrowed across various departments and organizations as needed.

The main requirement was the integration of a reservation and scheduling system that would enable access to vehicles based on assigned permissions. In specific cases, loan approvals from superiors were also required for successful reservations.

Upon confirmation, the system needed to assign users a digital key, eliminating the need for physical key handovers. This transformation allowed vehicles to be picked up and dropped off without any human intervention, making the process seamless and efficient.

Xmarton’s Optimization of the Initial Project (Enhancing Fleet Efficiency Through Advanced Reporting)

We introduced an analytical tool to track the efficiency of vehicle usage. This provided valuable insights into fleet allocation, enabling better categorization of shared vehicles and identifying opportunities for further reductions in fleet size.

Our Challenge – A Smooth Transition from Manual Key Management to a Digital Mobile-Based System

One of the biggest challenges was ensuring a seamless transition from traditional paper-based vehicle reservations and manual key exchanges to a fully digital, mobile-access system. The transition had to be intuitive, minimizing disruption, miscommunication, and resistance among employees.

Benefits of the Collaboration Between the Bratislava Municipal Authority and Xmarton

After the implementation of the Xmarton fleet management system and the digital key-sharing solution, several significant improvements were observed:

Quantitative Benefits:

  • The fleet size requirement was reduced by 10% as expected.

  • Operational cost savings were achieved.

Qualitative Benefits:

  • Increased vehicle availability for employee work-related travel, thanks to 24/7 access.

  • Elimination of time previously wasted on manual vehicle handovers.

Xmarton’s Role in the Project:

  • Xmarton Hardware - Xmarton Exclusive Unit

  • Xmarton System - Fleet Management

  • Xmarton Solution - Vehicle Sharing for Pool Fleets

  • Xmarton Technology - Digital Key System

This case study demonstrates how effective solutions and innovative approaches can bring significant improvements to fleet management, reduce costs, and enhance operational efficiency for clients.
